Today, we will be discussing the importance of properly completing meeting reports, an essential tool for our business networking meetings.

At every GR meeting, it is crucial that every visitor—whether they are a GR member or not—be registered in the Visitors section of the meeting report. It may seem simple, but oversights still happen, especially when it comes to substitutes.

Here’s a common scenario: a member is absent and is replaced by a colleague, another GR member, or an external guest. The result is that the replacement’s name does not appear in the Visitors section of the meeting report. Why? Because the name was entered only in the “Replacement” field and not registered as a visitor.


Important reminder: even if a name appears in the absence or replacement section, that is not sufficient. Anyone attending a meeting who is not a regular member of the group must be registered as a visitor.

Best practices to follow: ideally, each visitor—whether a substitute or a GR member from another group—should complete the visitor form themselves. If not, the person responsible for the meeting report must collect the necessary information and complete it, which increases the risk of errors and may delay the meeting. To avoid this, provide a quick reminder upon arrival and make sure every visitor is properly listed in the Visitors section. It’s simple, fast, and ensures a smooth experience for everyone.
